How Are The Counsellors get Selected?

The entire selection process of College Vidya Counsellorsise divided into two major stages:

  • Stage 1 – HR & Managerial Selection
  • Stage 2 – Training & Quality (T&Q) Department Process

Both stages are equally important, and every candidate must go through these two stages to become a Career Development Advisor. College Vidya does not provide any exceptions or shortcuts for any candidate. 

Stage 1: Selection by HR and Management Team

The first stage focuses on qualification, experience, and professional suitability.

A. Educational Qualification Requirement

 To be eligible for this position, one must have:

  • Must have completed post-graduation
  • The degree must be from a recognized institution

This ensures that a candidate has an understanding of:

  • Academic systems
  • Degree structures
  • Learning journeys

A Master's degree is mandatory for applying for this job role at College Vidya. It does not compromise on this requirement, and every applicant must have this level of qualification. 

B. Work Experience Requirement

Apart from the Master’s degree, candidates are required to have a minimum of 3 years. This ensures that they are capable of-

  • Handle real student situations
  • Communicate professionally
  • Understand career transitions

Fresh graduates are not preferred for the counseling roles. 

C. HR Interview Round

After shortlisting the candidates based on their educational qualifications and work experience, the HR Interview round is conducted. In this stage, the following things are done-

  • Background Check
  • Communication clarity and professional attitude are checked
  • Cultural fit with College Vidya

D. Managerial Interview Round

Candidates selected in the HR Round are processed for the Managerial Round. In this round, managers assess: 

  • Problem-solving ability
  • Career orientation mindset
  • Understanding of student responsibility

Candidates who clear both HR and Manager rounds are officially selected.

E. Induction: Entry Into College Vidya Ecosystem

After final selection, candidates attend induction. During induction, they learn about:

  • College Vidya’s mission
  • Student-first philosophy
  • Ethics and transparency standards

However, the selection in the HR Round and Managerial Round does not guarantee that candidates will be deployed to the floor. They have to go through rigorous training provided by the Training and Quality (T&Q) Department of College Vidya. The final decision whether a candidate is fit for the position of Career Development Advisor is made after the training. 

Stage 2: Training & Quality (T&Q) Department Process

This stage is the backbone of counselor development. In this stage, a normal candidate is trained to become a qualified counselor at College Vidya. Every selected candidate is sent to the Training & Quality Department. This Department is headed by the highly experienced Mrs Kriti Bhalla.

In this stage,  skills are tested, knowledge is built, weaknesses are identified, and worked upon. Not all the candidates selected in the HR and Managerial rounds survive this stage. The following are the sub-stages in which training is provided for selected candidates- 

  • Step 1. - Psychometric Test (Mandatory)

The first step in counselor training is the Psychometric Test. This test is conducted on the College Vidya portal. The purpose of this test is to check- 

  • Competency level of the candidate
  • Decision-making ability Problem-solving ability
  • Emotional stability

This test helps the College Vidya to understand whether a candidate is fit for a counseling role or not. Every candidate must take this test, and passing it is mandatory. Candidates failing in this test are disqualified for the role of Counselor. 

Step 2. Actual Training (Building the Subject Matter Expertise)

This is where the real training of counselors begins. The Training & Quality Department conducts structured sessions that help in building subject matter expertise. In this phase, counselorsget understanding of- 

  • Course and Program Knowledge

Here, counselors receive- 

  • Comprehensive understanding of all courses
  • Detailed knowledge of programs offered
  • Subject Matter Expertise development

Counselors learn about courses like Online MBA, Online MCA, Online BBA, etc. 

  • Industry Mapping & Career Linkages

Here are counsellors are trained to understand industry needs, map courses to career outcomes, and guide students realistically. This helps counselors recommend career-aligned programs, not random courses.

  • University Evaluation Parameters

T&Q team guides counselors on how to assess universities based on:

  • Approvals
  • Accreditations
  • Academic quality
  • Industry relevance
  • LMS of the University 
  • Career Support
  • Loan and EMI for Fee Payment

This ensures unbiased and informed guidance. After this, counsellors get a deep idea of how to recommend a university that is highly approved and accredited. 

Step 4: Practical Training Through LMS

College Vidya uses a dedicated Learning Management System (LMS) to provide practical training to the counselors. LMS Training Includes:

  • Assignments
  • Video tutorials
  • Mock counseling calls
  • Scenario-based learning

This helps them to combine their theoretical knowledge with practical-based learning, providing them with hands-on experience. However, this LMS is not only for new joiners, but existing counselors also receive continuous training on it. It enables them to update their knowledge regularly and stay aligned with current educational standards.

Step 5: Understanding Education Language through Glossary Training

The field of higher education has many technical terms. One must have familiarity with these terms to offer proper counseling. For this, the T&Q Department has prepared a glossary and trains the counselors on key terminology, such as:

  • Approvals
  • Accreditations
  • Brochure
  • Electives vs Specializations
  • Dual degree vs Dual specialization

This ensures that the consultants use the correct terminology and explain it clearly to students. This avoids confusion and misinformation. 

Step 6: OJT / Nesting Phase (15 Days)

After training on the LMS and a deep understanding of counselling, candidates enter On-the-Job Training (OJT). This is also known as the Nesting Phase, where counselors-

  • Work with a mentor
  • They observe real counseling scenarios
  • They solve their doubts 
  • Get real-time support

This phase lasts for 15 days. It helps counselors gain confidence before handling students independently.

Step 7: RAG Analysis: The Deciding Stage

RAG analysis is one of the most critical phases in the selection and training process of counselors. This analysis decides whether a counselor will be deployed on the floor or not. RAG stands for:

  • Red
  • Amber 
  • Green 

What Is Evaluated in RAG Analysis?

RAG analysis is a comprehensive evaluation of a particular counselor based on- 

  • Overall progress
  • Training performance
  • Ability to meet role expectations

What do RAG Colour Codes Mean?

Here are the colour codes in RAG analysis explained- 

  • RED Category- This colour indicates that the counselor is not prepared to guide students. It shows that key performance expectations are not met. The training and quality department either disqualifies such candidates or transfers them to other departments.

RAG Analysis Score Card

  • AMBER Category- This colour indicates that there are minor gaps in the training and performance of the candidate. It shows that the counselor needs more support. Such counselors are ready to be deployed on the floor but under close supervision. They also get time to improve.

  • Green Category - This colour code shows that the counselor has met all the expectations. Such counselors are highly fit for this role. 

Step 8: Certification Audit & Deployment on Floor

Based on RAG results, candidates go through a final audit. The performance of the candidate is extensively reviewed by the Training and Quality Department. After this, final eligibility is decided. 

Despite the intensive training and orientation, 5–10% candidates are dropped by the T&Q department. Only those who meet strict standards are deployed on the floor. After final approval, the candidate earns the title of “Career Development Advisor.”

Step 9: Assignment of Shadow Buddy (First 3 Months)

The supervision of counselors and guidance of the counselors does end with their final selection. For the first 3 months of their deployment on the floor, they are assigned a Shadow Buddy. Shadow buddy acts as a personal mentor and guide to the new joiners and helps them settle in.

Shadow Buddy Badge By College Vidya to Guide Newly Joined Counselors 

Existing counselors who are outperforming in their role get this title. They receive a dedicated Badge from the College Vidya for this. They assist and provide guidance anytime to the new counselors. This leads to a smooth transition, continuous support, high confidence, and no counselor is left alone.
